Facilities Maintenance Coordinator

This position is a full-time, on-site role (Three Hills, Alberta)

Position Summary 

 

Under the direction of the Director of Corporate Services, this position coordinates and manages building maintenance projects and contracts across multiple Kneehill County sites. The role emphasizes project and contract management, requiring the effective oversight of various agreements to ensure the timely and efficient completion of maintenance projects.

Key Duties

Project Coordination and Management:

  • Utilize City-wide asset management tools to monitor, analyze, and manage facility assets effectively. Ensure the integration of asset data with other county management systems to support decision-making and strategic planning.
  • Develop, implement, and manage building maintenance projects, ensuring they align with organizational goals, assigned budgets, and regulatory requirements.
  • Coordinate and schedule projects, ensuring minimal county operations and services disruption.
  • Create detailed project charters outlining project objectives, scope, stakeholders, and deliverables.
  • Develop comprehensive Gantt charts to map project timelines, milestones, and dependencies.
  • Conduct risk assessments and develop mitigation strategies to address potential project challenges.
  • Monitor project progress, regularly updating the Director of Corporate Services and other relevant stakeholders.

Project Execution and Monitoring:

  • Implement project plans, ensuring all tasks are assigned and completed according to schedule.
  • Maintain and update project change logs to track project scope, schedule, or resource modifications.
  • Monitor project performance using key performance indicators (KPIs) and prepare regular status reports for stakeholders.

Documentation and Communication:

  • Prepare and maintain detailed project documentation, including progress reports, meeting minutes, and action items.
  • Facilitate project meetings with internal teams and external contractors to ensure alignment and address any issues.
  • Communicate project updates, risks, and changes to all relevant stakeholders promptly and effectively.

Position Requirements 

  • College business/technical diploma or related journeyman or equivalent work experience in a trade described
  • Project Management Experience (PMP would be an asset) 
  • Experience managing contractors 
  • Mechanical aptitude and knowledge of maintenance requirements
  • Effective communication skills, both written and verbal
  • Strong computer skills
  • Valid Alberta Class 5 Operator’s license
